At a glance
Bring your service priorities, approximate building size, operating hours, access requirements, and any existing scope you want to review.

Gather the basic building details
Share the property address, approximate area, building use, and the days and hours it operates. Note occupied rooms, shared facilities, and any parts of the property that are excluded from cleaning.
If there are multiple shifts, tenants, or public events, explain how they affect access. A floor plan can help, but a detailed drawing is not necessary to start the conversation.
Identify the items you want to improve
Write down specific concerns such as missed waste containers, restroom refills, entrance glass, visible floor soil, or inconsistent detailed work. Identify the location and when the issue tends to occur.
Also describe what is already working. The aim is to plan the appropriate work for the building rather than assume every room needs a new task or a higher frequency.
Review surfaces and periodic maintenance
Point out carpet, tile, VCT, vinyl, and other flooring, along with any known care instructions. Share the recent maintenance history if it is available. Existing wear and damage should be discussed before expectations are set.
List any additional services you are considering, including scheduled glass cleaning, carpet cleaning, or community amenity work. These may require a different frequency or a separate project proposal.
Discuss the details behind access and supplies
Explain preferred service hours, restricted rooms, arrival procedures, alarm arrangements, and where equipment or supplies can be stored. Identify who authorizes access and who can answer questions during the service window.
Confirm whether your team purchases paper products, soap, and liners or wants BR to discuss a replenishment arrangement. Consumable purchases and cleaning labor should be clearly accounted for in the proposal.
Review the proposal against the walkthrough
After the visit, compare the written scope with the priorities you discussed. Check rooms, tasks, frequencies, periodic work, exclusions, and supply responsibilities. Resolve differences before agreeing to the program.
